Introduction
This Refund Policy applies to online payments made on the Gyan Ganga National School ("the School") website and fees or charges collected through our payment gateway partner (PayPhi / PhiCommerce). It should be read together with our Terms and Conditions, which govern admission, enrollment, and school fees.
If anything in this policy conflicts with the Terms regarding fee obligations or enrollment, the Terms prevail unless a stricter refund rule is required by law or by the payment network.
Online Payment Processing
When you pay online, you are redirected to a secure hosted payment page operated by our payment service provider. Card, UPI, net banking, and other methods offered there are subject to that provider's and your bank's rules.
- Successful payment: You will be returned to our payment status page with a confirmation. Please save your transaction or reference ID for your records.
- Failed or cancelled payment: If the transaction does not complete, your account is usually not debited. If your bank or wallet still shows a debit for a failed or unsuccessful attempt, the amount is typically reversed within 7 working days, or within the timeframe set by your bank or payment provider, whichever applies. You may retry using the same or another payment method.
- Pending verification: Some transactions may show as pending while we or the gateway confirm status with the bank. If status remains unclear, contact the School with your reference number as shown on the payment status screen.
- Duplicate payments: If you were charged more than once for the same fee or contribution, contact the School immediately with your reference ID and transaction ID (as shown on the payment status page, SMS, or bank statement). We will verify with the gateway and arrange an adjustment or refund as appropriate. Delays may follow bank or gateway processing timelines.
Refunds and Adjustments (School Fees)
Refunds of school fees (as distinct from bank or gateway reversals) follow the same principles as set out in our Terms under Fee Structure and Payment. In summary:
- • Admission fee is non-refundable under any circumstances
- • Tuition fee is refundable only if withdrawal is made before the academic session begins
- • No refund for mid-session withdrawals except in cases of transfer due to parent's job relocation (subject to documentation)
- • Transportation fee is refundable on a pro-rata basis if service is discontinued mid-session
Approved fee refunds may be processed to the original payment method or by cheque/bank transfer as per School practice and timelines. Processing may take several business days after approval, plus any time required by banks or the payment gateway.
Chargebacks and Disputes
If you initiate a chargeback or payment dispute with your bank or card issuer, please also inform the School with your transaction details so we can review the case and provide information to the payment provider where appropriate. We will cooperate with legitimate dispute processes; misuse of chargeback rules may affect future transactions.
For fee-related disagreements, we encourage you to contact the School office first so we can try to resolve the matter before escalation.
Changes to This Policy
We may update this Refund Policy from time to time to reflect changes in our payment partners, practices, or legal requirements. The "Last Updated" date at the top will change when we do. Continued use of online payment facilities after updates constitutes acceptance of the revised policy where permitted by law.
