Introduction
These Terms and Conditions ("Terms") govern the admission, enrollment, and continued education of students at Gyan Ganga National School ("the School"). By enrolling your child/ward, you (the parent/guardian) agree to abide by these Terms, the School's rules, regulations, and policies as amended from time to time.
The School is affiliated with the Central Board of Secondary Education (CBSE) and operates in accordance with CBSE guidelines, the Right to Education (RTE) Act 2009, and other applicable laws.
Admission Policy
1.1 Eligibility
- • Admissions are subject to availability of seats and fulfillment of age criteria as per CBSE norms
- • Age proof (birth certificate) and previous academic records must be submitted
- • Students must pass the school's assessment/interaction process
- • Transfer Certificate from previous school is mandatory (except for new admissions to Nursery/KG)
1.2 Admission Process
- • Complete application form with accurate information
- • Submit required documents (birth certificate, address proof, photographs, previous school records)
- • Attend student assessment and parent interaction
- • Pay admission fee and first installment of tuition fee upon selection
- • Admission is confirmed only after fee payment and document verification
1.3 RTE Admissions
The School reserves 25% seats for economically weaker sections (EWS) and disadvantaged groups as per RTE Act 2009. Such admissions follow government-prescribed procedures and timelines.
Fee Structure and Payment
2.1 Fee Components
- • Admission Fee (one-time, non-refundable)
- • Tuition Fee (annual, payable in installments)
- • Development Fee (annual)
- • Examination Fee (as applicable)
- • Transportation Fee (optional, for bus facility users)
- • Activity Fee (for extracurricular activities)
2.2 Payment Terms
- • Fees must be paid by the due date specified in fee notices
- • Late payment attracts a fine as per school policy
- • Fees can be paid via cash, cheque, demand draft, or online transfer
- • Fee receipts must be preserved for future reference
- • Non-payment of fees for two consecutive months may result in name struck off from rolls
2.3 Fee Refund Policy
- • Admission fee is non-refundable under any circumstances
- • Tuition fee is refundable only if withdrawal is made before the academic session begins
- • No refund for mid-session withdrawals except in cases of transfer due to parent's job relocation (subject to documentation)
- • Transportation fee is refundable on pro-rata basis if service is discontinued mid-session

2.4 Fee Concessions
Fee concessions/scholarships are available for meritorious students, siblings, children of staff members, and economically disadvantaged families. Applications must be submitted with supporting documents for consideration.
Academic Policies
3.1 Curriculum
The School follows CBSE curriculum and assessment patterns. The academic calendar, examination schedule, and syllabus are subject to CBSE guidelines and school management decisions.
3.2 Attendance
- • Minimum 75% attendance is mandatory as per CBSE norms
- • Students with less than 75% attendance may not be allowed to appear in examinations
- • Leave applications must be submitted in advance or within 3 days of absence
- • Medical certificates required for prolonged absence due to illness
3.3 Examinations and Assessments
- • Regular assessments, unit tests, and term examinations as per CBSE pattern
- • Students must appear for all scheduled examinations
- • Re-examination only in exceptional cases with prior approval
- • Unfair means in examinations will result in disciplinary action
- • Report cards issued after each term; parent signature required
3.4 Promotion Policy
- • Promotion based on academic performance, attendance, and conduct
- • Students failing to meet promotion criteria may be detained
- • No detention policy applicable for Classes I-VIII as per RTE Act
- • Remedial classes provided for students needing additional support
Code of Conduct
4.1 Student Conduct
- • Students must maintain discipline, respect teachers and peers
- • Proper school uniform must be worn on all school days
- • Use of mobile phones, electronic gadgets prohibited during school hours
- • Bullying, harassment, or violence of any form will not be tolerated
- • Damage to school property will be charged to the student
- • Students must follow safety protocols and instructions
4.2 Disciplinary Action
Violation of school rules may result in:
- • Warning and counseling
- • Parent-teacher meeting
- • Suspension (temporary or permanent)
- • Expulsion in cases of serious misconduct
4.3 Parent Responsibilities
- • Ensure child's regular and punctual attendance
- • Attend parent-teacher meetings and school events
- • Monitor child's academic progress and homework
- • Inform school of any health issues or special needs
- • Update contact information and address changes promptly
- • Cooperate with school management and follow communication protocols
Safety and Security
5.1 Campus Security
- • CCTV surveillance throughout campus
- • Trained security personnel at entry/exit points
- • Visitor management system with ID verification
- • Students can only be picked up by authorized persons
5.2 Health and Medical
- • Medical room with trained staff for first aid
- • Parents informed immediately in case of illness or injury
- • Students with contagious diseases must stay home until recovered
- • Annual health check-ups conducted
5.3 Transportation
- • School buses equipped with GPS tracking and first aid kits
- • Trained drivers and attendants accompany students
- • Students must follow bus rules and safety guidelines
- • Parents responsible for student safety to/from bus stops
5.4 Child Protection
The School is committed to child safety and follows POCSO Act guidelines. Any concerns regarding child safety should be immediately reported to school management. All staff undergo background verification and child protection training.
6. Withdrawal and Transfer Certificate
•Written application for withdrawal must be submitted at least one month in advance
•All dues must be cleared before Transfer Certificate issuance
•Library books, school property must be returned
•TC issued within 7 working days of application (subject to clearance)
•Duplicate TC issued only after police verification and payment of prescribed fee
7. Liability and Disclaimer
•The School is not responsible for loss or damage to personal belongings
•Parents are advised to insure their child against accidents
•School not liable for injuries during sports/activities despite safety measures
•Management reserves right to modify rules, fees, and policies with notice
•School may be closed due to unforeseen circumstances (natural disasters, pandemics, government orders)
8. Dispute Resolution
Any disputes arising from these Terms shall be resolved through:
1.Discussion with class teacher/coordinator
2.Meeting with Principal/Management
3.Mediation by School Grievance Committee
4.Legal jurisdiction: Courts of Aurangabad, Bihar
9. Acceptance of Terms
By completing the admission process and enrolling your child at Gyan Ganga National School, you acknowledge that you have read, understood, and agree to abide by these Terms and Conditions, along with all school policies and CBSE regulations. These Terms constitute a binding agreement between the parent/guardian and the School.
